1. Introduction
FileSwift ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights in relation to it when you use our file conversion service at fileswift.io.
By using FileSwift, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
Account Information: When you sign up, we collect your email address and any details you provide (e.g. your name via Google Sign-In).
Usage Data: We collect data about how you use FileSwift, including the number of conversions you run per day, the file formats you convert between, and general interaction patterns. This helps us improve the service.
Files You Upload: To perform a conversion, your files are temporarily uploaded to our secure processing infrastructure. Files are processed and then permanently deleted immediately after conversion completes. We do not read, analyse, or store the content of your files beyond what is required to perform the conversion.
Anonymous Sessions: If you use FileSwift without signing in, Firebase creates an anonymous session linked to your browser. This allows us to apply usage limits. No personal information is attached to anonymous sessions.
3. How We Use Your Information
- To provide and operate the FileSwift file conversion service
- To enforce daily usage quotas for free and Pro plan users
- To process subscription payments via Stripe
- To send transactional emails (e.g. receipts, account notifications)
- To improve and optimise the platform based on aggregated, anonymised usage patterns
- To comply with legal obligations
We do not sell your personal data to third parties.
4. File Handling
Your files are transmitted over HTTPS and are stored temporarily in Google Cloud Storage solely for the purpose of performing your requested conversion. Once the conversion batch is complete:
- Input files (your original uploads) are deleted from storage
- Output files (converted results) are made available for download via a short-lived link
- Output files are also deleted automatically after a short retention window
We do not permanently store copies of any files you upload.
5. Third-Party Services
FileSwift uses the following third-party services which may process your data:
- Firebase / Google Cloud — Authentication, database (Firestore), cloud functions, and file storage (Cloud Storage). Governed by Google's Privacy Policy.
- Stripe — Secure payment processing for Pro subscriptions. FileSwift never stores your full card details. Stripe's Privacy Policy applies to payment data.
- Google Analytics — Aggregated, anonymised usage analytics to help us understand how the service is used.
6. Cookies and Local Storage
FileSwift uses Firebase Authentication which relies on browser cookies and/or local storage to maintain your session (including anonymous sessions). These are strictly necessary for the service to function.
We use Google Analytics which sets cookies to measure traffic and usage. You can opt out of Google Analytics tracking via browser extensions such as the Google Analytics Opt-out Browser Add-on.
7. Data Retention
Account data (email, usage counters) is retained for as long as your account exists. If you delete your account, all associated personal data is deleted within 30 days.
Uploaded and converted files are deleted immediately after processing as described in Section 4.
Stripe may retain payment records in compliance with financial regulations.
8. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you
- Rectification: Request correction of inaccurate data
- Erasure: Request deletion of your account and associated data
- Portability: Request your data in a machine-readable format
- Objection: Object to certain types of processing
You can delete your account at any time from your Account Settings page. To exercise any other rights, please contact us.
9. Data Security
We implement industry-standard security measures including HTTPS encryption for all data in transit and Google Cloud's security infrastructure for data at rest. However, no method of transmission over the internet is 100% secure and we cannot guarantee absolute security.
10. Children's Privacy
FileSwift is not intended for use by children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected such data, please contact us and we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new policy on this page and updating the "Last updated" date. We encourage you to review this page periodically.
